KCBC Office Secretary position

We are looking to employ a person from within the KCBC Church Family as a part-time (20 hours per week) Office Secretary.

1. RESPONSIBLE TO: The KCBC Leadership Executive through the Senior Pastor

2. RESPONSIBLE FOR
A. Secretarial and Administrative support for the Senior and Associate Pastors
B. General Office administration and Supervision of Office Volunteers
C. Receptionist responsibilities and basic care of visitors to the Church Office

3. QUALITIES AND SKILLS:
A. Active involvement in KCBC or another local Church
B. Good personal and communication skills
C. Ability to offer basic caring support to people in need
D. Capacity to work well in a team environment
E. Self-motivated and able to work alone or under limited supervision.

G. Capacity to take appropriate initiatives and follow through on projects
H. Ability to coordinate and delegate work to Office Volunteers
I. Competent computer skills and a working knowledge of MS Office software - particularly Word, PowerPoint and Publisher
J. Accuracy and attention to detail.

4. SPECIFIC TASKS
The role of the Office Secretary will include a range of tasks as suggested by (2) above. This section covers the central tasks in more detail. In practice the role will not be limited to this list, depending on the needs from time to time and on the gifts and abilities of the Office Secretary and those of the Office Volunteers who may assist.
A. Secretarial and Administrative support for the Senior and Associate Pastors Primary support is to the Senior Pastor and Associate Pastor. Such support may include sharing the organising of Funerals and Weddings. In consultation with the Senior Pastor, the Office Secretary may also give some limited support to Church Officers, Committees and Ministry Leaders as requested.
B. General Office Administration and Co-ordination of Office Volunteers Email: Respond / redirect appropriately to emails, and manage the office email account.
Diaries: Maintain Event and Property Use Calendars.
IT Support - maintain electronic filing and backup of essential documents including the minutes of Church and Leadership Meetings and maintain the Church data base.
Regular Publications: Prepare and publish a weekly newsletter, the annual "Contacts" booklet and Church Annual Report
Rosters: Oversee the various Rosters and publish as required.
Documents.' Produce and distribute documents, advertisements, brochures, and other papers in consultation with the Senior Pastor.
Information Desk and Main Noticeboard: Check weekly - tidy and maintain as necessary, removing outdated documents and notices.
Copyright : Maintain copyright license reporting
Filing: Maintain good filing practices and filing of essential documents.
Supplies: Ensure the provision of Office supplies. Monitor supplies in the Cleaning Cupboard and restock / reorder as necessary.
Office Volunteers: Supervise the work of Office Volunteers who help with the these and other tasks from time to time and, as needed, assist them to effectively carry out those tasks.
C. Receptionist responsibilities and basic care of visitors to the Church Office
Respond with appropriate warmth and efficiency to phone calls and visitors to the Church
Office - including those who may come seeking welfare assistance.

5. TERM / CONDITIONS OF EMPLOYMENT and REVIEW
A. This Position is classified as Permanent Part-time. The Hours will be 20 per week, ideally Monday to Thursday 9am to 2pm but subject to negotiation with the successful applicant.
B. Salary to be paid according to the appropriate Award. Pro-rata sick leave and Annual leave apply.
C. Superannuation paid to the applicants fund of choice according to legislated requirements
D. Term of Service will be a 12 month contract (including a 3 month probationary period) with a Review toward the end of the probationary period and after each 12 months.
